In some hiring scenarios, you may need to hire multiple employees for a single job title—for example, hiring several Retail Associates for the same location. While each employee will need a unique position record in PrimePay, it often makes the most sense to have only one active job posting for that title in your PrimePay Recruit account.

This means you'll be working with a ratio of multiple positions in PrimePay to a single job posting in PrimePay Recruit. Here's how to manage that process efficiently.

Example Scenario

You want to keep one active Retail Associate job posting in PrimePay Recruit, but you're hiring two (or more) Retail Associates.

Step 1: Create the Initial Position in PrimePay

  1. Create a "Retail Associate" position in PrimePay.
  2. This will automatically create a new offline job posting in your PrimePay Recruit account.
  3. In PrimePay Recruit, open the Retail Associate posting, edit the job description, and make any necessary changes.
  4. Publish the job posting online.

This job posting is now connected to the original Retail Associate position you created in PrimePay. Any updates to the job title in Recruit will sync back to PrimePay.

Step 2: Hire and Onboard the First Employee

  1. In PrimePay Recruit, find the applicant you'd like to hire from the Retail Associate posting.
  2. Open the application viewer and click "Mark as Hired."
  3. The applicant’s information will be transferred to PrimePay.
  4. In PrimePay, go to the Task Center, find the new employee listed as an ATS Onboarding task, and click to begin onboarding.

Step 3: Hire a Second Employee for the Same Job Title

When you're ready to hire a second employee for the same role:

  1. Create another Retail Associate position in PrimePay.
  2. This will create a second offline job posting in PrimePay Recruit.
  3. Since you already have an active job posting for this title, you can leave the second job posting offline in Recruit.
  4. In PrimePay Recruit, locate the applicant you'd like to hire in the active Retail Associate job posting.
  5. Move the applicant to the offline Retail Associate job posting.
  6. In the offline posting, open the application viewer and click "Mark as Hired."
  7. The applicant’s information will transfer to PrimePay.
  8. Go to your Task Center in PrimePay to begin onboarding the second employee.

Step 4: Hiring Additional Employees for the Same Job Title

To hire more employees under the same job title:

  • Repeat the steps listed above for each additional hire.
  • When you’ve finished hiring for that position, you can take the job posting offline in your Recruit account.
  • If you need to hire again in the future, you can re-publish the job posting online at any time.
