Good news! Our ATS allows you to easily add applicant notes, track applicant activity, and manage permissions within your account. Follow the steps below to efficiently manage applicant information.


Accessing Applicant Notes and Activity

  1. View All Applicants: From your main dashboard, click on "View All Applicants" or use the search bar at the top right to find the specific applicant you’d like to view.

  2. Open Applicant Viewer: Once you’ve found the applicant, click on their name or the "View Applicant" button to open their profile in the applicant viewer.




Adding Applicant Notes

In the applicant viewer:

  • Click on the Notes section located in the left-hand navigation bar.
  • Here, you can manually enter notes about the applicant.
  • After typing your note, click Save Note to store it.


If you'd like to limit visibility to specific users, check the Protect Note box. This makes the note only visible to users with permission to view protected notes.




Viewing Applicant Activity

Next, click on the Activity tab to view recent actions related to this applicant. 
The activity feed includes:

  • Status and rating updates
  • Requests for background or reference checks
  • Any actions marking the applicant as hired





Managing Permissions for Notes

You can control who can edit and delete notes in the system by adjusting user roles and permissions.

  1. From your dashboard, click on the Menu button, then select Account Details.
  2. Choose Roles and Permissions to view and edit the default permissions for various roles in the system.


By default:

  • Admin and Manager roles can edit and delete notes.
  • Reviewer and Read-Only roles cannot.


To update a user’s role:

  1. Navigate back to the Account Details page and select Manage Users.
  2. Click the pencil icon next to the user you’d like to edit.
  3. Use the drop-down menu to select the appropriate role that determines whether they can edit or delete notes in the applicant profile.
  4. Once you’ve made your selection, click Submit to save the changes.
